How to Set Rent Collection and Other Payment Settings

Payment Settings

First go to Admin Settings from the navigation.

Prepay Allowed

The Prepay Allowed toggle allows your residents to prepay for their balance in advance of being charged. This setting is for both staff users and resident so enabling or setting this to off would enable prepayments across the board.

Simply click the toggle as shown below to alter your selection.

Accepting Partial Payments

Accepting Partial Payments is allowed through this section as well. A "Partial Payment" is one that does not cover the full total of the delinquent balance.

Accepting Online Payments

Accepting Online Payments can be toggled as shown below to alter whether you want them enabled. "Online Payments" are payments made by Residents outside the office, so Resident Portal Payments. "Onsite Payments" are classified as all payments made by a staff member from the "Staff" side of the system.

Accept ACH Payments

ACH Payments must be enabled in ExactEstate, but it is important to note the higher processing fees for Authorize.net's eCheck payments: https://www.authorize.net/en-us/payments/echeck.html, which was latest $25/month + 0.75% the fee being paid.

Waive Balance After Move-Out

When Residents move-out there is the possibility that they have a delinquent balance. If you handle these matters separately than storing that information in ExactEstate, we enable you to close out and waive the balance with an Administrative Write-off at time of move-out.

Exclude Late Fee Charges for This Month

Late fee charges are automatically charged each day based on the status of a resident owing any fees. If you would like the Late Charges to not include charges that were made this month, toggle that option here. For example, if someone was charged a fee later on for perhaps a damaged window, but they had not paid for it by the next day when Late fees are generated, they would be charged a Late Fee for that overdue balance if this setting was not turned off.

Onsite Surcharge

You have the ability to alter the surcharge amount for payments when people come into the office to pay here. This includes in office rental payments and application payments. Note the additional cost is percentage based on the amount paid.

Online Surcharge

You have the ability to alter the surcharge seen by online users, like residents using the Resident Portal as shown below. Note the additional cost is percentage based on the amount paid.
